Thank you for volunteering to be on the Field Trip Committee. We are looking forward to another fun and exciting year of Field Trips. Here are some guidelines to help you get started.

Pray about your idea(s). We are a member driven organization and we try not to dictate to our committee. We love for our committee members to call us and share their creative ideas with us. Occasionally someone on the board may request a Field Trip and these Field Trips will be assigned to a committee member to set up. If you are having trouble coming up with an idea, look at what you are studying in History and Science sometimes you can spring board off a topic in one of these areas.

Once you have your idea, call the Field Trip Committee Chair or the CHB Calendar Keeper. The Field Trip Committee Chair will then assign you a date or two in which you may schedule your Field Trip. Please DO NOT SKIP THIS STEP. The Field Trip Committee Chair knows all of the dates for events, such as Bees, Testing, etc, and we try to work together to avoid too much being scheduled during one week.

Things to ask when scheduling the Field Trip:

Name of the event or place we are going

Date

Beginning and Ending Times – Check-in time is set at least 15 minutes prior to the beginning time

Cost- many businesses will give us one free adult ticket per 10 children. At the beginning of CHB, it was agreed that no one individual would ever receive a free ticket. We are a member driven organization and everyone is required to work; therefore, we never have free tickets for workers. We take the free tickets and roll them into the cost of all of the adult tickets and then lower the price of the adult ticket, sometimes this is only $.25; however, we feel this is fairer to everyone. If we make money on a Field Trip, which we sometimes do on Theatre, that money stays in the Field Trip budget to offset another Field Trip or to be used for a group, end of the year party. Field Trips must pay for themselves, which means that at the end of the year our goal is to break even.

Ages – are strollers/backpacks allowed? Our host always dictates this.

Description, as much detail as possible, as to what we will be doing

Once you have all of this information you are ready to either have your Field Trip posted on the website or post it yourself using this on-line form. Call the Field Trip Committee Co-Chair that you have been working with, they will instruct you further.

It is the responsibility of the individual Field Trip coordinators to collect all monies and reservations for your Field Trip. Once it is all collected you are responsible for turning the money over to the Treasurer. If someone has e-mailed you reservations and you have not received their money please call them and tell them you have not received their money and confirm that they will be attending. They may need to give you a check at the door, if the postal service has failed us. We do not ever want to pay for someone who has changed their minds or plans.

Our goal is to have enough individuals on our committee every year to require our committee members to only set-up one or two field trips per year.

We request that all CHB member families review the Field Trip Policy FAQ document and the Field Trip Etiquette document before registering for or attending any field trip. These documents have been designed to educate and inform our membership about respectfully representing Christ, as well as the home schooling movement in our community.

FIELD TRIP POLICY
Frequently Asked Questions

Q.) Where can I receive information on upcoming field trips?
A.) Visit our web site at http://www.ch-eb.org/events/. Click on the event heading for information and guidelines for registering for the field trips. Note: Guidelines vary with each field trip.

Q.) I have some great ideas for field trips but I’m already serving on another committee. To whom do I give this information?
A.) The field trip chairperson will happily accept your ideas at any time during the year. However, as field trips are planned months in advance in most cases, please don’t be offended if your idea is not pursued in the current year.

Q.) Who can attend a CHB field trip?
A.) This question has a two-part answer, a special note, and an exception:

A field trip participant must be a member of CHB.

Only CHB member families, including grandparents, may participate.Note: Family pets are not listed on the CHB registration form and should not attend any CHB field trip.

Exceptions to A1) and A2):

With the prior-approval of the field trip coordinator: If a field trip has a maximum number of “unlimited,” and a CHB member family desires to invite another home-schooled family, additional friends, and/or family members on said field trip, they may do so, with the understanding that they are responsible for the behavior of their guests. Also, the CHB member family must understand that if any problems are encountered, that member family may lose their right to attend field trips for the duration of the school year, and/or you may be responsible for the elimination of this exception.

If a field trip has a minimum number of field trip participants required, and we fall short by a couple of spaces, we may with the approval of the Field Trip chairperson and/or the approval of the CHB board, open this field trip to select groups.

Q.) May I run some errands while my child is attending a field trip?
A.) No. There are only two reasons you should not be in attendance with your child at a field trip. First, if the field trip guidelines dictate that the parent cannot attend or if there is a maximum number of parent chaperones allowed. Second, if you have made an arrangement with another parent to be your child’s designated chaperone.

Q.) I signed up for a field trip, but I’ve found that I cannot attend. Can I get a refund?
A.) Refunds for field trips are only available before the registration deadline. Frequently, we must make final reservations and payments making refunds difficult. You may be able to get another CHB family to take your spot, but such a change must be approved/cleared through the field trip coordinator for that individual event.

Q.) What if my neighborhood home-schooling friends and I want to arrange a field trip for ourselves? Since we’re all CHB members, couldn’t we just call the contact and tell them that we’re from CHB and want to set up a field trip?
A.) No. You are more than welcome to set up a field trip for you and your CHB-member friends. However, you may not use the name CHB when setting up your individual field trip. The name CHB will only be used to sponsor CHB Field Trips advertised on our web site.

Q.) I’m new this year and I’m unsure what to do when I arrive at the field trip location. Do I just go in and ask the staff for the tour?
A.) First, plan to arrive promptly at the check-in time (usually 15 minutes prior to the start time). The field trip coordinator and other participants will be arriving at roughly the same time. The coordinator will be doing check-ins and will act as your liaison throughout the event.

Q.) There’s a field trip listed that I’m very interested in having my child attend; however, she’s not old enough. Is there any way to get around the age or grade guidelines? I just know she’d love it!
A.) The host of the field trip usually sets these guidelines, having reasons which may or may not have been explained to the field trip coordinator. If it’s a field trip you are interested in having us repeat in a few years, when it is age-appropriate for your child (based on the guidelines), make the field trip chairperson aware of your interest. This should be done in April for a fall semester field trip, or in August for a spring field trip.

Q.) My child was disruptive at a field trip. I tried to ignore him, hoping his behavior would subside. However, it didn’t and the coordinator asked me to take him outside – I didn’t want to leave my other son (who was enjoying the presentation). Are we banned from attending field trips?
A.) A few steps have to occur before a child or family may have their field trip privileges suspended.

In the Field Trip Etiquette document, we encourage parents to address expected behavior prior to the event.

At the event, if disruptive behavior occurs and is not dealt with promptly by the parent or designated chaperone, the field trip coordinator will ask that the child be removed from the field trip until he/she has been calmed. If this occurs, after the event the Field Trip chairperson will be made aware of the situation, and the situation will be noted.

At this point, the Field Trip chairperson will make contact with the family to address the issue and issue a formal disciplinary warning. Should misconduct be repeated after this warning occurs, the family may be suspended from involvement with field trips for the remainder of the school year.

The above outlines the CHB field trip disciplinary policy; however, there has yet to be a situation where it has had to be fully enforced.

FIELD TRIP ETIQUETTE

As a group of Christian Home-Educators, please remember that first and foremost our behavior should reflect that of Christ Jesus.

“We are therefore Christ’s ambassadors, as though God were making his appeal through us” (2 Corinthians 5:20 NIV).

Show respect and love to one another and to those in the community whom you will encounter.

“Do nothing out of selfish ambition or vain conceit, but in humility consider others better than yourselves. Each of you should look not only to your own interests, but also to the interests of others” (Philippians 2:3-4 NIV).

“A new command I give you: Love one another. As I have loved you, so you must love one another. By this all men will know that you are my disciples, if you love one another” (John 13:34-35 NIV).

Registration

Follow the registration guidelines given on the web site by the field trip coordinator. Please pay special attention to dates, registration fees, and any requested documents. Note: If you intend to register for a field trip at or near the deadline (due to cost, if you’re not sure you have the field trip date free, etc.), please contact the field trip coordinator in advance. This will help him/her most effectively coordinate with the host the number of tour groups needed.

Once the deadline for registration has passed, refunds will not be issued.

Preparation

If you have children in age groups that will not be participating in the field trip, please arrange childcare for them, rather than bringing them on the field trip. An option is for you to arrange for another parent who will be in attendance to take responsibility for your participating child. Note: This means if there is a note on the field trip form that the field trip is age/grade specific, and it is not mentioned whether strollers, lap-babies, etc., are welcome, you need to consider making the above arrangements. If you have any questions about this, contact the field trip coordinator and/or field trip chairperson.

Research the field trip and give at least a preliminary overview to your children so they know key things to look for, and will be able to develop questions they would like to have answered. This enriches the experience for all in attendance.

Review relevant portions of this document with all of your family members who will be attending. Good coaching at this point tends to head-off many potentially problematic situations. Reminder: The behavior of your children and any other child in your care is your responsibility.

Communication

If your children will be under the care of an adult other than their own parent, please notify the field trip coordinator in advance.

If after you have registered for a field trip, you find you will be unable to attend, contact the field trip coordinator ASAP. Yes, do this even if it is the morning of the event. Occasionally, there will be a waiting list for an event, and another participant may be able to fill your space.

Check your email and the web site often to note any changes in the schedule.

Providing your cell phone number to the field trip coordinator (with your registration) is helpful, especially in the case of outdoor field trips, which may be impacted by ever-changing weather conditions.

Participation

Cell phones should be set to vibrate. During the field trip, if you must accept a call, do so only after you have stepped outside or otherwise removed yourself from the group.

Arrive as close to check-in time as possible, which is usually 15 minutes before the start time. Many of our hosts request that we enter as a group; therefore, we require prompt arrival in order to honor their request.

Remove your disruptive child from the field trip, promptly. Once the child is calmed down, you may return. Note: If you do not deal with the situation responsibly, the field trip coordinator will step in and ask you to leave.

The Thoroughbred Center for Theater requests that our group wait until we have 15-20 people checked-in before we request seating. This allows their staff to be efficient, filling each seat in each row of our reserved space as they go. Note: If you desire to sit with another CHB family, it would be wise to enter the building together.

Appreciation

A written thank you note is especially considerate, given that those leading our tours are investing their time to supplement the education of our children. The field trip coordinator, in most cases, will send an email to scheduled participants a few days before the day of the event with the contact name and postal and/or email address. If you do not receive this information, you may contact either the field trip coordinator or the field trip chairperson.

The Communication committee is responsible for the CHB web site, e-mail communication, and the distribution of other CHB materials that may become necessary from time-to-time. The chair will report in writing or orally at each monthly board meeting.

Coordinators include:

E-mail Coordinator [using board policy as a guideline sends appropriate and timely e-mail to all members],

Web site Coordinator [responsible for the general oversight of ch-eb.org, renews the domain and web space],

Survey Coordinator [using input from various other committees, drafts and executes CHB surveys] and

Events Communication Coordinator [maintains the CHB events list on the web, drafts messages for e-mail coordinator to send].

Community Service Committee

The community service committee plans events that provide our children with community service experiences. Attempts will be made to have projects that are appropriate for various age groups.

The committee chair will coordinate with the field trip chair to insure that dates for community service opportunities do not overlap other events.

A major service annually offered by CHB is the Used Curriculum Sale. This project is managed and executed by the Community Service Committee.

Academic Evaluations Committee:

Includes: Testing, Contests, Bees and Competitions

Each summer the Committee leadership in consultation with the CHB board will determine the number, subjects and dates of the bees, the brand and dates for testing and other key committee activities. The activities will be advertised at the Back-to-school Bash to allow families to sign-up as early in the ear as possible.

Bees Sub-Committee:

CHB will sponsor a series of academic competitions (Bees) that allow student members to compete against each other in a positive and encouraging environment. The Bees are structured so that participating students walk away with a medal and certificate for their efforts and trophies given to all students in each age/grade that receive the highest number of correct answers. A small fee is charged of each competitor to help cover the costs of the rewards. Questions are made by committee leaders and distributed approximately 5-8 weeks before the date of the actual competition. Every effort is made by the committee leaders to ensure that each student has a positive learning experience. Families are responsible for their own study of the material given. Competition material is given to those that complete the registration process by the dates issued and rewards given to those that come to the actual competition.

Top 10 Responsibilities:

Coordinator must train new committee members each year. The goal is make sure that there are people in leadership than can run this program well each year.

Set appropriate dates and publicize the dates. The Bash is a must!

Research the topic that is to be studied.

Compile the appropriate amount of material for grade levels involved.

Type and print copies for all participants.

Handle registration fees and expense records.

Keep committee and competitors informed of any and all important information. Answer random questions as they come up.

Secure testing facility and equipment. Make sure there are directions available.

Order rewards and make sure they are available on the night of the competition. Medals and certificates go to all participants. Purchase as many trophies as there is money available. It is better to have more than you need than less!!

DO EVERYTHING YOU CAN TO MAKE SURE THAT THE COMPETITION IS AS POSITIVE AN EXPERIENCE AS POSSIBLE FOR EACH COMPETITOR. Keep in mind that home school kids may not be familiar with competitive bees and some are not comfortable in front of crowds.

*****Useful Tips!!

Taking pictures of participants is a nice touch! Thank you notes are always in order (especially for the use of the facility–perhaps even a small love offering). Sound system should be used by leaders only. Students should face the leaders–not the audience during competition. If in doubt….the benefit always goes to the student!

Testing Sub-Committee:

Each school year CHB wants to provide the opportunity for members to test their children with a nationally recognized and respected standardized test. Coordinators and Committee members will work hard to make sure that all registered students are provided with the best testing environment possible, with well trained administrators and an appropriate test at the most affordable price.

Responsibilities of Coordinators and Committee Leaders:

Coordinators must train new committee members each year. The goal is to make sure there are people in leadership that can run this program well each year.

Contacts need to be made early on in the year with our area test coordinator and our umbrella school to verify involvement.

Secure a testing facility that can accommodate our group.

Register students. Recruit educated proctors and support personnel.

Order testing materials.

Publicize all important dates including testing, training, set-up and take-down as soon as possible.

Organize and set-up testing facility.

Organize daily check-in and child care.

Handle registration fees and expense records.

Arrange for inexpensive gifts to be given to those that helped.

Be available to answer questions from parents by phone and e-mail.

Provide a student and parent info session before testing.

Send thank you note and love offering to testing facility. Leave facility in great condition.

Provide addressed envelopes and postage for test results.

Make sure that families receive their testing results and help in reading those results when needed.

Important Info!

The utmost care must be taken to insure that this test is handled ethically and carefully. Parents must not be in the room with their own children while testing. Proctors should have a college degree. The testing environment must be secure and pleasing. Steps should be taken to accommodate children with special needs when possible. Parents must not view their child’s test under any circumstances after testing begins. Effort must be made to handle students that need more time than others to complete tests. All parents must participate in some way during testing week. A variety of jobs will be available.

Extra-Curricular Classes Committee

Extra-curricular classes committee is responsible for contacting various professionals in the greater Lexington area to accept requests for special classes for CHB members or for homeschooled children in general. Some examples might include: gymnastics, swimming lessons, group music lessons, Karate, home-school sports leagues, etc.

All ideas for classes should be approved by the chair before being pursued by committee members. Each committee member is expected to arrange for at least one class each semester.

One member of the committee (need not be the chair) should be the contact point between this committee and the communications committee that is responsible for the web pages related to Extra-curricular classes.

One related task that is delegated to a member of the Extra-Curricular Classes Committee is a CHB Homeschool discount coordinator. This person is responsible for collecting information on services that are generally available to home school families at a discount; soliciting, as appropriate, business that may desire to offer a discount to CHB members and communicating this information to the person(s) responsible for the web site.

Field Trip Committee

The field trip committee serves the CHB membership by organizing and coordinating field trip offerings based on ideas given by the CHB membership throughout the year.

We ask that all CHB member families review the Field Trip Etiquette and the Field Trip Policy Frequently Asked Questions documents before registering for or attending any field trip. This document has been designed to educate and inform our membership how to represent both Christ, as well as the home schooling movement, respectively.

Field trip committee assignments include: Thoroughbred Center Theater coordinator, Lexington Children’s Theater coordinator, various field trip coordinators, and two or three taskmasters.

Dates for field trips are assigned through the Field Trip chairperson, who works closely with the Field Trip board representative, and is the keeper of the CHB Master Planning Calendar. The chairperson should choose dates that, whenever possible, will not interfere with other CHB activities. A complete list of all approved CHB events are found on the Events Calendar on the website.

If you serve on this committee, please note that we begin scheduling field trips for the fall semester in early spring. Likewise, spring semester field trips are planned beginning in August. Scheduling early provides our members with the information they need to plan their school year as early as possible.

Guidelines for Coordinators are posted here.

In most cases, each member of the Field Trip committee is responsible to coordinate at least one field trip.

Hospitality/Fellowship Committee:

The Hospitality/Fellowship is responsible for coordinating and executing events which contribute to relationship-building and support among member families. These may include events geared to families or adults only. The chair will report in writing or orally at each monthly board meeting.

Learning Zone Committee

The LZ is a weekly supplemental learning experience for children who are home-educated. The center(s) is co-located with a church and meets one morning or afternoon a week.

Only full-time (every week) staff for the Learning Zone are considered to be “on the committee”. A parent of each LZ participant is expected to sign-up for several dates as a Learning Zone volunteer. These commitments are not considered fulfillment of the volunteer responsibilities for membership, as they are expected from all parents who make use of this benefit of membership.

More details about the LZ can be read in the Learning Zone section of the web site.

Membership Committee

The Membership committee is responsible for the execution of board policies relating to membership application(s), membership cards, membership special benefits, member directory and the notification of the New-member Orientation and Mentoring committeeof any new members in a timely fashion. The chair will report in writing or orally at each monthly board meeting.

Coordinators include:

Application Coordinator [using input from the board; drafts, has approved, distributes and collects new and renewing member applications, copies new member info to New-member committee for prompt action, passes all application data to database coordinator, passes all checks to treasurer after recording check number on application],

Database Coordinator [creates and maintains the CHB membership database, prints annual member directory, prints member cards, distributes updated e-mail list to e-mail coordinator],

Special Benefits Coordinator [develops appropriate contacts for group discounts for CHB members, maintains current list of discounts for new-member committee and web site],

Member Packet Coordinator [serves concurrently on the New-member Orientation committee, receives and/or creates handouts appropriate for new and renewing members including: member directory, membership card, best practices document, special benefits list, web site instruction sheet, by-laws, etc.]

New-member Orientation Committee

The annual back-to-school bash serves annually as a major point of orientation for many new CHB members and new home schooling families. Families that join CHB after the bash has occurred, or who are unable to attend the Bash are at a disadvantage. The members of the new-member orientation committee will make personal contact with each family joining after the August bash, paying special attention to beginning home schoolers. They will deliver an updated member packet, answer any questions, and introduce the new-member to committee chairs and/or board members as possible.

Mentoring Committee

The mentoring program has grown out of the ideas related to the new-member orientation committee, as all new home schoolers will also be new members. The mentoring program attempts to facilitate the connection of an experienced family with a new family to answer the common questions relating to paperwork, motivation, expectations, curricula and other subjects of interest and concern to new home schooling families.

Teen Committee

Designed to help develop, plan and coordinate events and Learning Zone associated with the junior high and senior high aged children.

All,

We have finalized information for Achievement Testing for 2012. We will be testing the last full week of April, 2012 (April 23-26). We will test from 9 AM until
around noon Tuesday-Thursday. The Insight (cognative test equivalent to the OLSAT) will be given Monday morning during proctor training. Location is TBA, but will most likely be held at Tates Creek Christian Church.

ACSI has changed the format of the achievement tests this year. In the past, we have given the Stanford Test with the OLSAT (cognative skills test). This year, ACSI will be using TerraNova 3 (standardized test) and Insight (cognative skills test). They will be of a similar format to those given in previous years. The Insight is, again, optional. The standardized test will consist of language skills, math skills, science, and social studies. There will also be a section on Bible. We will be testing First Grade and above.

All families participating in achievement testing will be required to volunteer in some capacity. For most, this will be as a testing proctor. Please clear your schedules for testing week. We will make every effort to accommodate those with special circumstances, but please let us know as soon as possible if you will require special consideration.

Testing will cost $20 per child for CHB members, and $30 per child for nonmembers. There will be an additional $5 per child taking the Insight (optional). A $10 per child deposit will be required to reserve your spot. If you would like to participate, please complete the attached form, and send it to the address listed on the form along with your deposit by November 19.

Given the reductions in numbers of families homeschooling, and the resulting fewer member families in CHB, the board desires to reduce the number of members serving on the board, yet maintain the relative percentage of families represented on the board. To this end, we are proposing that the minimum number of board members be reduced to seven from nine, and a phrase be added to the By-laws indicating the desire that one board members serve per every ten families until we reach 120 members, where it should cap at 12 members.

About Learning Zone:

Welcome to the Learning Zone information page. LZ is a ministry provided to the CHB membership. You must be a current member of CHB and home- schooling full time in order to participate in LZ.

Learning Zone meets on Monday afternoons for three hours and runs for 16 weeks each semester. Children age 3 by October 1st through 4th grade are invited to attend. In addition there will be a supervised study hall for middle school students who are taking one or more classes through Outside the Zone or whose siblings are attending Learning Zone.

Learning Zone follows a true co-op model. We do not pay the teachers; however, everyone is required to contribute his or her time each week. There may also be a small fee for supplies when needed.

We have openings for children in all age groups. Depending on the response we may be able to add another elementary class as well.

The cost for Learning Zone will be the $25 registration fee per family per semester, which is a love offering that goes directly to Tates Creek Christian Church. If you have questions, please contact Gladie Green at weedyacres@windstream.net.
